It provides information on using the basic functions that were requested by the website redesign committee report, as implemented by Beach Pea Design in 2017\/18.<\/p>\n<p>Beach Pea Design does not guarantee the accuracy of this information. It is the responsibility of the client to learn to use the software and tools included with the website and we take no responsibility for any changes in the function, display and operation of the site as a result of the instructions provided here being applied. We are available to assist at our hourly service rate if you need\u00a0 guidance or help and have also provided external reference resources.<\/p>\n<p>The site developed by Beach Pea Design includes premium software that our agency has purchased a developers&#8217; license for. As long as the website is being hosted with Beach Pea Design the website will receive updates to the included software. The society can purchase its own license for these items if it wishes to host the site elsewhere.<\/p>\n<p>The website uses a caching plugin to improve website speed and loading times. The cache is cleared automatically on a regular basis, but occasionally you may need to clear it to see your changes immediately. Once you have been logged the WordPress Dashboard will be displayed in your browser.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.12-12-14-48-1024x590.png\" alt=\"\" width=\"1024\" height=\"590\" \/><\/p>\n<p>Several common actions such as New Blog Post, New Homepage Slider, etc. are displayed here which you can click to quickly add new content. Links to the site documentation and support are also provided here. Below we will outline how to use these functions.<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<h2>\n\t\tHomepage Slider<br \/>\n\t<\/h2>\n<p>At the top of the website&#8217;s home page is a content slider that displays all of the Homepage Slides posts. These are ordered by the date last modified. Thus the latest slide added or edited will display first. From the back of the website click on the Homepage Slides tab to view all of the slides.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2017\/12\/homepageslides-e1512487544769-1024x373.png\" alt=\"\" width=\"1024\" height=\"373\" \/><\/p>\n<p>If you are a site admin, you can tick the box next each post and then select a bulk action such as move to trash to delete an item. To edit an item click on the title (ie. This is another Homepage Slide), or hover over the title and click &#8220;edit&#8221;. If you are a site Contributor you can edit your own posts or click &#8220;Add New&#8221; beside the &#8220;Homepage Slides&#8221; title to add a new slide.<\/p>\n<p>When you click Add New or edit, a new page will open for the new\/existing slide post. Enter a headline for the slide at the top of the page. You can provide more information about the slide in the large text editor box &#8211; this only displays if a visitor clicks the slide, not on the homepage. Add a short caption for the slide below in the Excerpt box (shows under the headline on the homepage). Upload a Featured Image. As the featured image will be set to cover the whole slider, it should be a wide image, ideally about 1100px wide by 400px high.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/homepageslider-1024x615.png\" alt=\"\" width=\"1024\" height=\"615\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>Click Publish or Update to save your post. If you are an editor or site admin, the post will now display on the homepage. If you are a site Contributor click Submit for Review, a site admin will review and publish it.<\/p>\n<h2>\n\t\tBlog Posts<br \/>\n\t<\/h2>\n<p>New blogs posts are displayed on the homepage under Society News &amp; Updates, on the Blog page, and on the bottom of the Conferences page if the Conference category is used. If you hover over the Posts tab from the WordPress dashboard\/back end of the website, you can choose to view All Posts, Add New, Categories and Tags. When you click All Posts, you will see a list of all the posts published and drafts. You can click on the title or hover over the title to edit, delete or quick edit the post. To add a new blog post you can hover over +New on the top toolbar and then select Post, or Click the New Blog Post button on the dashboard, or hover over Posts and click Add New from the pop out menu.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.09-11-05-45.png\" alt=\"\" width=\"800\" height=\"500\" \/><\/p>\n<p>When you click Add New or edit an existing post, a page will open for editing the new\/existing post.<\/p>\n<p>Steps:<\/p>\n<p>1.Enter a title at the top of the page.<\/p>\n<p>2. Add your copy in the text editor below the title. You can also place images with your text by clicking the Add Media above the editor. You can insert images from the library or upload them from your computer. You can set the title, Alt Text, the caption, description and size of the image before clicking Insert Into Post.<\/p>\n<p>3. Choose a category for the post. Certain content is pulled into various feeds based on content or tags. For example the conferences page shows posts from that category only.<\/p>\n<p>4. Check the SEO title and description, edit when necessary.<\/p>\n<p>5. *IMPORTANT Choose a featured image to display with the article. This image is used in feeds on the site, and often by social media platforms when a link is posted.<\/p>\n<p>&nbsp;<\/p>\n<p>Click Publish or Update to save your post. It will now display on the homepage under Society News, and on the Blog page. Choose save draft to keep your changes but not publish your content.<\/p>\n<p>The video below walks through the steps of adding a new post.<\/p>\n<p>&nbsp;<\/p>\n<p>\t<iframe loading=\"lazy\" width=\"500\" height=\"375\" src=\"https:\/\/www.youtube.com\/embed\/zfvs1a0h5aI?feature=oembed\" frameborder=\"0\" allow=\"autoplay; encrypted-media\" allowfullscreen><\/iframe><\/p>\n<h2>\n\t\t\u00c9v\u00e9nements<br \/>\n\t<\/h2>\n<p>Events can be added by logged in members and by administrators. Logged in members will see a Submit an Event section on the <a href=\"https:\/\/cstm-sctm.ca\/fr\/members\/\" target=\"_blank\" rel=\"noopener\">Membres<\/a> page under upcoming events, and at the bottom of the <a href=\"https:\/\/cstm-sctm.ca\/fr\/events\/\" target=\"_blank\" rel=\"noopener\">Events Page<\/a>.<\/p>\n<p>When an event is submitted it is held as Pending until reviewed by a site admin. A notice is sent to &#x69;&#110;f&#x6f;&#64;c&#x73;&#116;m&#x2d;&#x73;&#99;&#x74;&#x6d;&#46;c&#x61; notifying you of the submitted event. Once published by a site author, editor or manager the event will be added to the upcoming events listings and calendar. Members are able to delete and edit events that they have created. The short video below walks through a submission from a member and publishing the event as a site manager.<\/p>\n<p>\t<iframe loading=\"lazy\" width=\"500\" height=\"375\" src=\"https:\/\/www.youtube.com\/embed\/5EBypYHQKDo?feature=oembed\" frameborder=\"0\" allow=\"autoplay; encrypted-media\" allowfullscreen><\/iframe><\/p>\n<h2>\n\t\tMember Directory Listings<br \/>\n\t<\/h2>\n<p>Directory Listings can be added be submitted\u00a0by logged in members. Logged in members will see an Add You Listing button on the <a href=\"https:\/\/cstm-sctm.ca\/fr\/members\/\" target=\"_blank\" rel=\"noopener\">Membres<\/a> page under the membership directory. Clicking the button takes them to <a href=\"https:\/\/cstm-sctm.ca\/fr\/create-your-listing-in-the-cstm-members-directory\/\">this page<\/a>, where they can enter their information and submit their listing. Once their listing is submitted, they cannot change the listing. To delete or edit the listing they are advised to use the contact page to make the request so that a site manager can make the changes for them.<\/p>\n<p>When a new listing is submitted it is held as Pending until reviewed by a site manager. A notice is sent to i&#110;&#x66;&#x6f;&#64;&#99;&#115;&#x74;&#x6d;-&#115;&#x63;&#x74;m&#46;&#99;&#x61; notifying you of the the new listing. Once published by a site author, editor or manager the event will be appear in the members directory.The short video below walks through a submission from a member and publishing the listing as a site manager.<\/p>\n<p>\t<iframe loading=\"lazy\" width=\"500\" height=\"375\" src=\"https:\/\/www.youtube.com\/embed\/_kwy1UHX26I?feature=oembed\" frameborder=\"0\" allow=\"autoplay; encrypted-media\" allowfullscreen><\/iframe><\/p>\n<h2>\n\t\tPrivate Members Only Posts<br \/>\n\t<\/h2>\n<p>You may wish to publish information that is only viewable to active society members. To do this, you will use the Member Posts, post type. New member posts are displayed on the members page under the heading,\u00a0Updates &amp; Announcements for Members. A carousel of posts is displayed here, showing the most recent post first. A maximum of 10 posts will cycle through in this space. Adding a new post is pretty well the same as adding a blog post, however these posts are only visible to logged in members.\u00a0<\/p>\n<p>When you hover over the Member Posts tab from the WordPress dashboard\/back end of the website, you can choose to view All Member Posts, Add New, Categories and Tags. When you click All Member Posts, you will see a list of all the posts published and drafts. You can click on the title or hover over the title to edit, delete or quick edit the post. It will now display on the <a href=\"https:\/\/cstm-sctm.ca\/fr\/members\/\">Members Page<\/a> under\u00a0Updates &amp; Announcements for Members. Choose save draft to keep your changes but not publish your content.<\/p>\n<p>You must be logged in as a site manager, editor or author to add members only content.<\/p>\n<p>&nbsp;<\/p>\n<h2>\n\t\tMinutes<br \/>\n\t<\/h2>\n<p>When you hover over the Minutes tab from the WordPress dashboard\/back end of the website, you can choose to view All Minutes or Add New. When you click All Minutes, you will see a list of all the Minutes published and drafts. You can click on the title or hover over the title to edit, delete or quick edit the Minutes. To add new Minutes you can hover over +New on the top toolbar and then select Minutes or hover over Minutes tab on the left and click Add New from the pop out menu.<\/p>\n<p>When you click Add New or edit existing Minutes, a page will open for editing the new\/existing post.<\/p>\n<p>Steps:<\/p>\n<p>1.Enter a title at the top of the page.<\/p>\n<p>2. Click in the text editor to reveal a type cursor. Select the bullet icon to apply the bullet style, then Click the Add Media button above the text editor. Upload the pdf or word file. Click the Insert Media button. The title of the document should now be displayed as a link beside the bullet.<\/p>\n<p>Click Publish or Update to save your post. It will now display on the <a href=\"https:\/\/cstm-sctm.ca\/fr\/minutes\/\">Minutes page<\/a>. Choose save draft to keep your changes but not publish your content.<\/p>\n<p>You must be logged in as a site manager, editor or author to add Minutes. Annual and Lifetime. You can edit and create new membership plans here:\u00a0<a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=wc_membership_plan\">https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=wc_membership_plan <\/a>if you are a site admin.<\/p>\n<p>People become members by purchasing a product that grants them access to a membership plan. A box on the bottom of the product page allows you to set the membership type the purchase grants access to if applicable. For more documentation on WooCommerce Memberships please see the following:\u00a0<a href=\"https:\/\/docs.woocommerce.com\/document\/woocommerce-memberships-quick-start\/\">https:\/\/docs.woocommerce.com\/document\/woocommerce-memberships-quick-start\/<\/a><\/p>\n<p>A list of all of the site members and their membership plan is available under the WooCommerce Tab &#8211; Members\u00a0<a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=wc_user_membership\">https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=wc_user_membership<\/a>\u00a0by clicking on the customers name you can edit the expiry, the type of membership and see the WooCommerce orders associated with their membership. If the member was added manually by a site admin there may be nor order associated with it.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.20-08-27-20-775x1024.png\" alt=\"\" width=\"775\" height=\"1024\" \/><\/p>\n<h5>Adh\u00e9sion \u00e0 vie<\/h5>\n<p>The lifetime membership\u00a0product is set up as a WooCommerce variable product. There are two variations &#8211; individual and individual + spouse. To change the cost of either, click on Variations in the Product data box on the <a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/post.php?post=427&amp;action=edit\">product page for Lifetime Memberships<\/a>.<\/p>\n<p>As this membership type does not require renewal, there is no subscription related to the purchase. The membership will remain active unless the customer chooses to cancel it or their membership is deleted in the back end by a site admin.<\/p>\n<p>When the customer completes the purchase, a user account is created for them and a WooCommerse Order is created. They are emailed a password to login to their account on the website. An email is sent to the email account &#x69;&#110;&#102;o&#x40;&#x63;&#115;t&#x6d;&#x2d;&#115;ct&#x6d;&#46;&#99;a alerting you of the new order. If the customer paid with PayPal the order will be in the &#8220;processing&#8221; state, and the member is able to access the restricted content. If they chose to pay by Cheque the order has a &#8220;pending&#8221; status. The customer is not able to access the restricted content until a site admin changes the status to &#8220;Completed&#8221; in the backend of the site. It is good practice to always mark the order as Completed once payment has been received for either payment method, so you can easily see which Orders need attention. All orders can be viewed by clicking <a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=shop_order\">Orders<\/a> under the WooCommerce tab in the backend.<\/p>\n<p>When the WooCommerce order is marked as Completed the customer is added to the membership and granted access to the members only content.<\/p>\n<p><em><strong>Important: If a person purchases the individual + spouse option for the lifetime membership, a site admin will need to set up a user account for the individual&#8217;s spouse.<\/strong><\/em> We have added a field in the checkout form where they can submit the email address, name and address for their spouse. A site admin can use this information to set-up their user account and membership. We will discuss adding\/editing users in more depth later.<\/p>\n<h5>Annual Memberships<\/h5>\n<p>There are currently two variable subscription products currently associated with the <a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/post.php?post=286&amp;action=edit\">Annual Membership plan<\/a>\u00a0&#8211; Canadian addresses and non-Canadian addresses. Each has 6 variations &#8211; Individual, Underemployed and Institutional for both digital (3) and print (3).<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.20-08-39-55-585x1024.png\" alt=\"\" width=\"585\" height=\"1024\" \/><\/p>\n<p>By clicking the Products tab in the backend and on the product title you can edit either product. By clicking on the Variations tab in the Product data box for the product, you can see the variations. Hover over a variation and click the down arrow to see\/edit the details, including the price and subscription length.<\/p>\n<p>At the bottom of the product page is the Membership box which grants access to the associated Membership plan on purchase.<\/p>\n<p>When a subscription product is purchased by a customer, like the lifetime membership, a user account is created for them and a WooCommerce order is created.\u00a0The customer is emailed their password to login to the website. If they paid via PayPal the order will be in the status &#8220;processing&#8221; and they will have immediate access to the members area. If they have chosen to pay by cheque the order status will be &#8220;pending&#8221;.<\/p>\n<p>A New Order email is sent to &#x69;&#110;&#x66;&#x6f;&#64;&#x63;&#115;t&#x6d;&#45;s&#x63;&#116;m&#x2e;&#99;a to alert you of the new order. This is you cue to be on the lookout for payment via PayPal or mail and to mark the order as Completed when received.\u00a0 Once the order has been marked as Completed, they will be added to the membership and have access to the members only contact.<\/p>\n<p>Unlike lifetime members, a <strong>subscription<\/strong> will also have been created for the customer when they complete their order. <a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=shop_subscription\">You can view all subscriptions and their status here<\/a>. You can delete and suspend subscriptions here. You can also click on the subscription # to see the billing information. Note that if you delete a subscription you will delete the membership associated with it as well.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.20-09-50-23-1024x524.png\" alt=\"\" width=\"1024\" height=\"524\" \/><\/p>\n<p>When the subscription is coming due for renewal WooCommerce sends out an email telling the customer that it is time for them to renew their subscription, it also generates a new WooCommerce Renewal Order. Once the subscription has expired, their subscription is put on hold. Memberships that are linked to a subscription are linked to the subscription status, so when the subscription is cancelled or put on hold, so is membership, and they will no longer have access to restricted content. Once the renewal order is completed, the subscription &amp; membership will become active again.<\/p>\n<p>For more information on WooCommerce Subscriptions please see the documentation here:\u00a0<a href=\"https:\/\/docs.woocommerce.com\/documentation\/plugins\/woocommerce\/woocommerce-extensions\/woocommerce-subscriptions\/\">https:\/\/docs.woocommerce.com\/documentation\/plugins\/woocommerce\/woocommerce-extensions\/woocommerce-subscriptions\/<\/a><\/p>\n<h2>\n\t\tManaging WooCommerce Orders<br \/>\n\t<\/h2>\n<p>Whenever a customer signs up to become a member or makes a donation an Order is created and an email is sent to the email address indicated in the WooCommerce Settings for Emails.<\/p>\n<p>When a payment is successfully completed through PayPal, PayPal sends a notification to the website which will update the status of the order to Completed. Once the order is marked as completed, the member will have access to the members only section of the website.<\/p>\n<p>If the customer went to the PayPal page but did not complete payment for the order, the status of the order will be Pending payment on the Woocommerce Orders page. To see all orders, login as an administrator, look under WooCommerce and click &#8220;Orders&#8221; &#8211; you will be taken to this page: <a href=\"https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=shop_order\">https:\/\/cstm-sctm.ca\/wp-admin\/edit.php?post_type=shop_order<\/a><\/p>\n<p>It is good practice to login to the website and mark the order as Completed after payment is received for donations and cheque\/money order payments. To do this visit the Orders page &#8211; hover over WooCommerce and click Orders. Select the order number to view the order.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.20-10-26-21.png\" alt=\"\" width=\"1000\" height=\"914\" \/><\/p>\n<p>To change the status, select Completed from the drop down menu under Status, then click the Update button. You can also Add a Note to the order &#8211; either a private note for internal use or a Customer note, which will be emailed to the customer.<\/p>\n<h3>\n\t\tWoocommerce Settings<br \/>\n\t<\/h3>\n<p>Settings dictating the function of the store are found under the WooCommerce tab on the backend of the website.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/cstm-sctm.ca\/wp-content\/uploads\/2018\/03\/screenshot-cstm-sctm.ca-2018.03.20-10-38-23.png\" alt=\"\" width=\"1000\" height=\"943\" \/><\/p>\n<p>Under checkout you can define the payment methods available (currently PayPal and Cheque or Money Order is available). Under Emails you can change which emails are enabled. For example you can disable the subscription renewal or renewal reminder emails.\u00a0 Most of the settings here will not need to be changed regularly, but as a site admin you can examine them if you wish.<\/p>\n<h2>\n\t\tManaging Users<br \/>\n\t<\/h2>\n<p>There are several user roles set up for use on the website. We will briefly describe them here and discuss how to change them.<\/p>\n<p><strong>Visitor\/Guest<\/strong> &#8211; A guest can view the unrestricted parts of the website. They can donate to the society as a guest, or create a customer account.\u00a0If they register for an account while making a donation or purchase a society membership, a Customer user account will be created for them at checkout.\u00a0 They can view their order, update their login info.<\/p>\n<p><strong>Customer<\/strong> &#8211; Once a visitor purchases a membership or registers an account at the checkout,\u00a0 a user account is created for them. Their user role is Customer. Lifetime members will appear as customers.<\/p>\n<p><strong>Subscriber<\/strong> &#8211; Once an annual membership purchase order has been completed, the user role of Subscriber will be applied to the user.<\/p>\n<p><strong>Contibutor<\/strong> &#8211; This user will have limited access to the backend of the website to create new posts, new homepage slides, and new events. Their posts must be approved by a site admin.<\/p>\n<p><strong>Translator<\/strong> &#8211; The same as a contributor with the added ability to translate content.<\/p>\n<p><strong>Author<\/strong> &#8211; The same as a Contributor, the user will have limited access to the backend of the website to create new posts, new homepage slides, and new events, however they have permissions to publish their posts. Authors can also translate content.<\/p>\n<p><strong>Editor &#8211;\u00a0<\/strong>The same as above, but they can also edit pages and publish member only posts, add\/edit member listings, and add minutes. Editors can also translate content.<\/p>\n<p><strong>Shop Manager &#8211;\u00a0<\/strong>All of the above, plus they can add\/edit products, manage WooCommerce Orders and Settings as well as Users. Shop Managers can also translate content.<\/p>\n<p><strong>Site Manager &#8211;\u00a0<\/strong>All administrative privileges.<\/p>\n<p>To change a user&#8217;s role, you must be logged in as a Shop or Site Manager. Click on the Users Tab. Click on the name of the user you wish to edit. Under their username is Role field. Choose the role you wish to give the user from the drop down menu. Scroll down to the bottom of the page and click Update to make the change. Just above the update button is a Membership field, where you can see the membership for the user. If they are not a member, they will not be able to see the members only content, regardless of their role.<\/p>\n<h3>\n\t\tTranslation<br \/>\n\t<\/h3>\n<p>Users with the role of\u00a0 Translator, Author, Editor, Shop Manager and Site Manager can translate the website. To enter translation mode click the blue Translate Site button in the admin bar. This will open a new window with a translation side bar. Click the blue pencil icon to select a text line to edit. Enter the translation in the sidebar and click Save Translation. When you are finished click the X in the sidebar to exit translation mode. To enter Page Builder mode click the Page Builder button in the admin bar when navigating the front-end pages. This will open the Page Builder editing mode. The website is created using a framework of rows, columns and modules. Hover over modules, columns and rows and they will become outlined with a small toolbar of icons on the left corner. Select the wrench icon to edit the settings and\/or content of a module, column or row. Modify as necessary and click Save. When you are done editing the page, click the Done button in the upper right corner of the browser window. This will expand to show options to publish, discard or save a draft of your changes. Click publish to make the changes on the live website.<\/p>\n<p>The video below broadly introduces the Page Builder on the homepage.
